Project Manager (Full-time, Permanent)

Reporting to the Director of the Strategic Execution and Project Management Office (SEPMO), the Project Manager plays a key role in assisting in the SEPMO team in all areas of project design and planning, time and risk management, budgets, quality improvement initiatives and reporting and documentation.

 

Responsibilities

Under the guidance and supervision of the Director of the Strategic Execution and Project Management Office, the Project Manager supports the Calgary West Central Primary Care Network (CWC PCN) with all key project management deliverables and processes. Key responsibilities include:

  • Researching and developing project plans through information gathering, research, needs analysis and interviews.
  • Creating and maintaining Gantt charts, flow charts and schedules using Visio, PowerPoint and MS Project.
  • Organizing stakeholder meetings, which may include booking meetings in Outlook, inviting participants, sending out pre-reading material, capturing actions items, etc.
  • Assessing project risks and issues and providing solutions where applicable.
  • Coordinating document management for projects and maintaining a document management system to support effective tracking and reporting of project deliverables.
  • Communicating project progress to the Director of SEPMO through the preparation of necessary statistics and presentation materials.
  • Ensuring stakeholder views are brought forward and addressed appropriately.
  • Keeping track of project invoices and coordinating payment with the Finance department.
  • Assisting with project close out, including but not limited to, final close out documentation, project evaluations, lessons learned, etc.
  • Coordinate and maintain Project Management Office documents such as templates, guides, decision documents, etc.
  • Creating a document management system for controlling the numbering, filing, sorting and retrieval of electronically stored or hard copy documentation produced by project teams in a timely, accurate and efficient manner.
  • Working collaboratively with other functional areas to ensure departmental alignment and identification of areas for improvement.
  • Assisting all CWC PCN staff with engaging the Project Management Office. This may include conducting training sessions, consulting, advising and coaching staff to use the Project Management Office.
  • Ensuring projects adhere to frameworks and all documents is maintained appropriately for each project
  • Identifying opportunities for efficiencies, streamlined processes and cost savings.
  • Assisting with all other Project Management Office initiatives that may arise.

Qualifications

Education: Minimum post-secondary education/diploma. Degree in Business Administration or Project Management Certification preferred.

Functional knowledge: Knowledge of project execution, business process writing and improvements, flow charts, document control and creation, implementation of programs and customer services preferred.

Experience: Minimum five years’ experience working on projects. Experience in computer applications such as MS Office Suite is required. Experience in document control, statistical gathering and reporting, and improvement activities is required.

Organizational and problem-solving skills: Outgoing, persistent and energetic. Strong communication and interpersonal skills; able to handle requests and complaints in a professional, non-confrontational manner. Excellent followup and problem-solving skills with the ability to make intuitive decisions.

Background check: A clear Criminal Background check, is required to start. If you have resided outside of Calgary in the past 12 months, you will need to contact the local police or RCMP detachment in your previous residential municipality to be able to obtain a full report.
