Supply Chain Administrator (Full-time, Permanent)

Reporting to the Director of the Strategic Execution and Project Management Office (SEPMO), the Supply Chain Administrator is responsible for ensuring best practice procurement processes are followed for all activities related to purchasing and asset tracking at the Calgary West Central Primary Care Network (CWC PCN).

 

Responsibilities

Supply chain

  • Act as the first point of contact with CWC PCN staff regarding requests to procure equipment and services.
  • Maintain and enhance procurement process by receiving requests from staff, overseeing appropriate senior leader sign-offs, working with vendors, ordering equipment and other services, and tracking orders and delivery dates.
  • Assist with Requests for Proposal process when requested.
  • Escalate all non-routine inquiries appropriately.
  • Identify viable suppliers for requested materials or services.
  • Keep a Preferred Supplier Database up to date, including supplier reliability, pricing information, key contracts, etc.
  • Ensure materials received match quantity and specifications ordered.
  • Notify the appropriate individual when their equipment and/or service order arrives.
  • Ensure and advise on applicable CWC PCN policies as they relate to procurement.
  • Assist with tracking and reporting on departmental and organizational spend.
  • Perform general administrative duties as needed.

Contract management

  • Track contract expiry dates and notify the contract administrator to ensure appropriate actions are taken well in advance of expiry.
  • Assist with monitoring and reporting supplier performance issues.
  • Manage on-site inventory for IT, office supplies and medical equipment.

Asset tracking

  • Maintain a tracking system of all new and existing physical assets of the CWC PCN such as office furniture, IT hardware and equipment.
  • Work with SEPMO to provide information regarding lifecycle management.

Qualifications

Education: Bachelor’s degree in business or related field of study, or post-secondary diploma with equivalent work experience.

Experience: Three years’ experience working directly with supply chain functions. Experience in computer applications such as Microsoft Office Suite is required.

Organizational and problem-solving skills: Ability to multi-task and prioritize. Strong organizational skills and proven ability to work under pressure and meet deadlines in a highly challenging work environment.

Communications and customer-relations skills: Strong communication, interpersonal and relationship-building skills; able to handle requests and complaints in a professional, non-confrontational manner. Excellent followup and problem-solving skills, with ability to make intuitive decisions. Discretion and ability to handle sensitive information and material appropriately.   

Attention to details: Precision, accuracy and high attention to detail in all aspects of work.

Team-Oriented: Ability to work effectively independently as well as with a team.

Background check: A clear Criminal Background check is required to start. If you have resided outside of Calgary in the past 12 months, you will need to contact the local police or RCMP detachment in your previous residential municipality to be able to obtain a full report.
